Build a US-dollar trip budget that still works per person and per day
A travel budget mixes booked costs such as airfare and lodging with variable costs such as meals, tips, gas, parking, and local transit. This calculator totals the plan and then separates it into per-traveler and daily views.
Edit the trip on the left and read the budget status on the right. The breakdown below shows which category is driving the plan and what the itinerary costs for each traveler on each day.
Start with booked and high-impact costs
Enter airfare, lodging, rental car, and other quoted costs first. Meals, tips, parking, and attraction tickets are easier to adjust after the large reservations are visible.
- Transportation: airfare, rental car, gas, parking, tolls
- Lodging: room total, resort or destination fees, lodging tax
- On-trip spending: meals, tips, tickets, insurance, mobile data
The US trip template reflects common domestic costs
The US template makes room for airfare or rail, rental car, gas, parking, lodging tax, meals and tips. Remove categories that do not apply instead of leaving them as hidden assumptions.
International plans need a separate exchange-cost check
A card network rate, foreign transaction fee, ATM fee, and cash exchange spread are different costs. Use the exchange-rate field as a note, not as a live-rate promise.
Per traveler per day makes unlike trips comparable
A three-day trip for two people and a week for four people should not be compared by total alone. The per-traveler-per-day figure normalizes group size and length, while room sharing and child fares may still need separate items.
Keep a contingency amount outside committed bookings
A 10–20% cushion is a useful review range for schedule changes, baggage, tips, parking, and price movement. Trips with flexible routes or weather risk may need more.
Separate shared costs from optional spending
Shared lodging and vehicles can be divided across the group, while shopping and individual meals should stay in separate categories.
- Name the person who paid each shared booking.
- Keep refundable reservations separate from final costs.
- Track upgrades and solo activities as optional spending.
Save scenarios instead of overwriting one plan
JSON Save keeps the editable categories and amounts in a file. Save a flight-heavy plan, a road-trip plan, or two lodging options separately, then load each one for a clean comparison.
Example: a three-day US trip for two
Airfare $600, lodging $480, rental car/gas/parking $270, meals and tips $240, activities $160, and insurance $50 total $1,800.00. That is $900.00 per traveler and $300.00 per traveler per day.
The result is a planning total, not a quote
The calculator cannot know price changes, cancellation terms, taxes added later, exchange movements, or spontaneous spending. Keep confirmed bookings and actual trip expenses in separate records.
Travel budget questions
How are total cost and per-traveler cost different?
Total cost adds every expense. Per-traveler cost divides that total by the number of travelers. Use per-traveler-per-day when comparing trips with different group sizes or lengths.
What changes between the US and international templates?
The US template includes airfare or ground transport, rental car, gas, parking, lodging tax, meals and tips. The international template adds baggage, local transit, insurance, visa, and exchange-fee categories.
Does the exchange-rate note update automatically?
No. It is a reference value you enter yourself. Check the card issuer, bank, or exchange service for the actual rate and foreign transaction fees before paying.
What should I cut first when the plan is over budget?
Review the largest categories first, usually airfare, lodging, and long-distance transportation. Keep a separate cushion for meals, tips, and expenses that can change during the trip.
What is stored in the JSON file?
It stores the destination, days, travelers, exchange-rate note, planned budget, categories, item names, and amounts. It stays on your device unless you choose to share the downloaded file.
Entry rules, payment costs, and travel conditions should be checked for the actual itinerary and payment date.
